Newsletter Editorial Board

MISSION

BSCES News provides monthly communication to all Section members about local events, the professional practice of civil engineering, technical group meetings, local seminars, special events, member news, etc., except during the months of July and August when it is not published.  A BSCES Newsletter Board of Editors was established in 1999, staffed by volunteers from the BSCES membership, and supplemented by TEC staff. The objectives of the Board are to:

  1. Maintain BSCES Board involvement in newsletter production
  2. Establish and implement procedures for monthly production of the newsletter
  3. Implement advertising to help defray costs of production
  4. Proactively plan the newsletter throughout the year, identifying articles to be included for each of the ten issues.

Coordinate with TEC staff to produce a meaningful and useful newsletter for Section membership.

STRUCTURE

The BSCES Secretary chairs the Board of Editors. There are approximately ten to twelve members on the board. TEC's BSCES Coordinator is a member of the board, and handles the production of the newsletter for TEC staff.  The board meets monthly to deal with the business of newsletter production, including resolution of procedural matters, roles and responsibilities and planning of the newsletter to establish articles to be included in each issue.

MEETINGS

Meetings are held once per month at The Engineering Center.

CHARGE

The newsletter is normally eight pages in length. If content warrants, it can be increased to twelve pages. Advertising consists of classifieds, sponsorship, and business card-size advertisements.  Advertising fees were established in 1999 to help defray the costs of newsletter production.  Inserts are Included at a nominal fee that is charged back to the requestor.  Insert fees were established in 1993 and updated in 1999 to cover mailing and reproduction costs.

In 2001, Corporate Sponsorships were established to allow the newsletter to be completely self-sustaining. The term of the sponsorship is one full publication year (normally September through June). Corporate sponsors will be recognized each month in a special section on the front page of the newsletter. Additionally, the newsletter will dedicate special promotional space to highlight one of the corporate sponsors each month. This space can be used to advertise the company’s services or make corporate announcements that may be of interest to the civil engineering community. The promotional space dedicated to the corporate sponsor of the month will include a banner prominently displayed at the bottom of the front page, as well as a double business card-sized ad (7” x 2”) at the bottom of the calendar page. Corporate sponsors will be responsible for providing the artwork to be displayed in the promotional space.

Articles submitted for publication for a particular month’s newsletter are due at The Engineering Center six weeks before publication.  Members of the board act as point persons for each article.  As such, point persons coordinate with authors in the preparation of articles and act as a point of contact with the Board of Editors.  The Board of Editors is responsible for proofreading and checking the content of the newsletter before it is submitted for publication.

FINANCIAL

The Board of Editors has no budget and neither receives nor disburses funds. The annual cost of reproducing and mailing the newsletter is included as a separate monthly line item in the BSCES Operating Budget.

The intent is for Corporate Sponsorships and other advertising to generate revenue to equal production expenses for the year.
